About the job

As a Back Office Project Coordinator, you will support the successful delivery of a public sector project for the Ministry of Migration & Asylum. The successful candidate will be responsible for contract administration, project documentation, reporting, and coordination between operational teams and management, ensuring full compliance with contractual obligations and public procurement requirements. 

Duties and Responsibilities:

  • Act as the liaison between Operations (Engineers, Site Supervisors) and Management.

  • Prepare supporting documentation for the Finance Department, including invoicing and project certifications.

  • Monitor Service Level Agreement (SLA) compliance and maintain supporting documentation for contractual reporting purposes.

  • Collect all required supporting documentation from site supervisors (attendance records, work completion reports, delivery/acceptance documentation, etc.)

  • Prepare, compile supporting documentation, and submit implementation contracts for each project site.

  • Monitor the Agreement and ensure compliance with all contractual obligations.

  • Track contract execution timelines, renewals, and key contractual milestones.

  • Maintain accurate physical and electronic contract records.

  • Prepare and submit monthly project certifications.

  • Monitor the payment approval process and follow up with the contracting authority where required.

  • Coordinate comments, requests for clarification, and corrective actions raised by the contracting authority.

  • Prepare monthly reports for the Contracting Authority.

Job Qualifications and Requirements:

  • Bachelor's degree in Business Administration, Economics, or a related field

  • 3–5 years of experience in contract administration, public procurement, or public sector projects

  • Experience with public sector certifications and invoicing procedures.

  • Previous experience in Facility Management, Security Services, Cleaning Services, or related industries will be strong asset

  • Experience with Agreements and call-off (implementation) contracts

  • Familiarity with the Greek National Public Procurement System (ESIDIS), will be strong asset

  • Strong knowledge in Microsoft Office, particularly Word and Excel.

  • Strong organizational skills with the ability to manage multiple priorities and meet tight deadlines.
