Personal Assistant (Maternity Cover 12 months)

Intellectica is recruiting an experienced and meticulous Executive Assistant to the CEO on behalf of its client, a prominent organisation. Based in Athens, Greece, and reporting to the CEO, the successful candidate will play a pivotal role in managing daily operations, streamlining communications, and providing strategic administrative support in a high-responsibility environment.&nbsp;Key activities and responsibilities of this role include:&nbsp;<ul><li>Managing the CEO’s complex calendar, coordinating high-level meetings, travel arrangements, and appointments</li><li>Screening and prioritizing incoming communications (calls, emails, messages), ensuring timely and appropriate responses or redirection</li><li>Preparing executive briefings, presentations, and meeting materials; capturing accurate minutes and tracking follow-ups to support decision-making</li><li>Liaising with senior internal stakeholders and external partners to facilitate strategic engagements and visits</li><li>Accompanying the CEO to selected events, ensuring flawless coordination and representation</li><li>Handling sensitive administrative tasks, including financial documentation, board materials, and confidential records</li><li>Supporting the execution of strategic initiatives by monitoring key deliverables, deadlines, and stakeholder alignment</li><li>Acting as a gatekeeper and ambassador for the CEO’s office, welcoming visitors and maintaining a professional executive environment</li><li>Any other task that may be required from time to time</li></ul>&nbsp;Professional experience &amp; qualifications of a successful candidate:&nbsp;<ul><li>Bachelor’s degree in Business Administration or a related discipline; a Master’s degree is considered an asset</li><li>At least 5 years of experience as a Personal Assistant, Executive Assistant, or senior administrative roles, ideally within a healthcare, pharmaceutical, or a regulated corporate environment</li><li>Tech-savvy with the ability to manage digital tools (including AI tools) and social media platforms</li><li>Familiarity with project management tools is considered a plus</li><li>Proficiency in MS Office Suite</li><li>Fluency in Greek and English (written and verbal)</li></ul>&nbsp;Core competencies of a successful candidate:&nbsp;<ul><li>Strong communication and interpersonal skills</li><li>Excellent organisational skills and attention to detail</li><li>Effective time management and multitasking ability</li><li>Proactive and adaptable mindset</li><li>High level of discretion and confidentiality</li><li>Reliable, structured, and compliance-oriented</li></ul>&nbsp;
