Intellectica is recruiting an experienced and meticulous Executive Assistant to the CEO on behalf of its client, a prominent organisation. Based in Athens, Greece, and reporting to the CEO, the successful candidate will play a pivotal role in managing daily operations, streamlining communications, and providing strategic administrative support in a high-responsibility environment.
Key activities and responsibilities of this role include:
Managing the CEO’s complex calendar, coordinating high-level meetings, travel arrangements, and appointments
Screening and prioritizing incoming communications (calls, emails, messages), ensuring timely and appropriate responses or redirection
Preparing executive briefings, presentations, and meeting materials; capturing accurate minutes and tracking follow-ups to support decision-making
Liaising with senior internal stakeholders and external partners to facilitate strategic engagements and visits
Accompanying the CEO to selected events, ensuring flawless coordination and representation
Handling sensitive administrative tasks, including financial documentation, board materials, and confidential records
Supporting the execution of strategic initiatives by monitoring key deliverables, deadlines, and stakeholder alignment
Acting as a gatekeeper and ambassador for the CEO’s office, welcoming visitors and maintaining a professional executive environment
Any other task that may be required from time to time
Professional experience & qualifications of a successful candidate:
Bachelor’s degree in Business Administration or a related discipline; a Master’s degree is considered an asset
At least 5 years of experience as a Personal Assistant, Executive Assistant, or senior administrative roles, ideally within a healthcare, pharmaceutical, or a regulated corporate environment
Tech-savvy with the ability to manage digital tools (including AI tools) and social media platforms
Familiarity with project management tools is considered a plus
Proficiency in MS Office Suite
Fluency in Greek and English (written and verbal)
Core competencies of a successful candidate:
Strong communication and interpersonal skills
Excellent organisational skills and attention to detail
Effective time management and multitasking ability
Proactive and adaptable mindset
High level of discretion and confidentiality
Reliable, structured, and compliance-oriented
