Back Office Supervisor

Based in Athens, Greece, and reporting to the Accounting &amp; Tax Manager, the Accountant will be responsible for maintaining general ledger entries and ensuring that ledger data is accurate and precise. Responsibilities <ul><li>Source FF&amp;E items globally, including both bespoke and off-the-shelf solutions, aligned with each project’s concept and design vision</li><li>Build and maintain strong vendor and artisan relationships across diverse sourcing markets (Europe, Latin America, Middle East, etc.) as per Scorpios business needs and locations</li><li>Manage the full procurement lifecycle: from request for quotation and sample approvals to order placement, logistics coordination, and delivery – in alignment with local teams</li><li>Negotiate pricing, lead times, payment terms, and value engineering options where necessary</li><li>Prepare and maintain procurement schedules and ensure alignment with overall project timelines</li><li>Collaborate closely with interior designers, architects, and project managers to ensure items reflect technical and aesthetic specifications, for all Scorpios locations</li><li>Oversee shipping, customs clearance, warehousing, and installation logistics across multiple regions</li><li>Conduct on-site visits during key project phases to oversee FF&amp;E installation, verify quality, and address last-minute changes</li><li>Establish standardized processes and procedures for supplier audits and quality assurance to maintain consistency across all items sourced.</li><li>Create supplier performance dashboards and post-project procurement reports to support future design and sourcing decision.</li><li>Maintain detailed procurement logs, budgets, and cost tracking reports for scorpios leadership and procurement/development departments.</li><li>Support invoice validation and financial reconciliation with Finance team.</li><li>Ensure that all procured items meet Scorpios’ standards for quality, materiality, sustainability, and ethical sourcing.</li><li>Be flexible to adapt responsibilities as per business needs, Scorpios leadership and direct managers requests.</li></ul> Requirements <ul><li>3–5 years of proven experience in FF&amp;E procurement for luxury hospitality, boutique hotels, F&amp;B, or high-end retail projects</li><li>Strong understanding of interior design principles and material specifications</li><li>Experience working with international suppliers and managing global logistics</li><li>Proficiency in Microsoft Excel, Google Workspace, and procurement tools (e.g., Fohlio, SpecSources, or equivalent)</li><li>Excellent negotiation, communication, and vendor management skills</li><li>High attention to detail, with exceptional organizational and documentation capabilities</li><li>Ability to manage multiple projects in fast-paced environments with shifting priorities</li><li>Willingness and ability to travel frequently for sourcing, quality control, and on-site installation oversight</li><li>Ability to read and interpret technical drawings, shop drawings, and architectural plans to ensure procurement aligns with design specifications</li><li>Knowledge of supply chain risk mitigation strategies and supplier compliance tracking</li></ul> Benefits <ul><li>A chance to work on globally recognized hospitality dynamic environment with opportunities to grow and learn</li><li>Opportunities for travel to sourcing destinations and project sites</li></ul>
