What you'll do
- Support execution of tender processes such as RFI, RFQ, and RFP
- Assist in preparation and issuance of tender documentation including administrative documents, templates, and standard terms
- Coordinate communication with contractors and suppliers during tender processes
- Manage tender timelines and track deadlines to ensure compliance
- Organize and support supplier briefings, clarification meetings, and site visits
- Collect, register, and manage supplier submissions ensuring completeness and compliance
- Maintain accurate and complete tender documentation, records, and audit trails
- Ensure all tender activities comply with internal procurement policies and procedures
- Support coordination of bid evaluation processes including documentation and scoring templates
- Assist in compiling evaluation reports and award recommendation documentation
- Track clarifications, responses, and addenda during the tender process
- Collaborate with internal stakeholders to gather requirements and support tender preparation
- Monitor supplier participation and follow up to ensure competitive tendering
- Identify administrative or process gaps and propose improvements
- Support reporting on tender activity, timelines, and basic performance metrics
Key requirements
- 5+ years' experience
- Tender processes (RFI, RFQ, RFP) knowledge and support
- Procurement principles and compliance understanding
- Documentation management skills for tender records and reports
- MS Office proficiency including Excel, Word, and PowerPoint
- Stakeholder coordination and communication skills
- Organizational skills and attention to detail
- Analytical skills to support evaluation processes
- Business Administration / Engineering / Related field

About the job
Support the execution of tender processes (RFI, RFQ, RFP) under the guidance of the Tenders Manager, and assist in the preparation and issuance of tender documentation, including administrative documents, templates, and standard terms.
Coordinate communication with contractors and suppliers during tender processes, manage tender timelines and ensure deadlines are tracked and met, and organize and support supplier briefings, clarification meetings, and site visits.
Collect, register, and manage supplier submissions ensuring completeness and compliance, and maintain accurate and complete tender documentation, records, and audit trails.
Ensure all tender activities comply with internal procurement policies and procedures, and support the coordination of bid evaluation processes, including documentation and scoring templates.
Assist in compiling evaluation reports and award recommendation documentation, and track clarifications, responses, and addenda throughout the tender process.
Collaborate with internal stakeholders to gather requirements and support tender preparation, monitor supplier participation and follow up to ensure competitive tendering, identify administrative or process gaps and propose improvements, and support reporting on tender activity, timelines, and basic performance metrics.
What will you bring?
Bachelor’s degree in Business Administration, Engineering, or related field, and 5 years of experience in procurement, sourcing, tendering, or administrative project support.
Familiarity with tendering processes (RFI, RFQ, RFP) is preferred, and basic understanding of procurement principles and compliance requirements.
Strong organizational and coordination skills, and high attention to detail and accuracy in documentation.
Good communication and stakeholder coordination skills, and ability to manage multiple tasks and deadlines simultaneously.
Analytical mindset with ability to support evaluation processes, and proficiency in MS Office (Excel, Word, PowerPoint).
Fluency in English required; Greek mandatory; additional languages are a plus.
