Summary

The Student Services Events Officer provides organizational support to the Student Services Office for all student-centered events and carries out her/his duties under the direction and supervision of the Student Services Director.

Essential Duties & Responsibilities

  • Parent-Teacher Conferences: Manages Parent-Teacher Conferences Electronic System (entering faculty data, creating and uploading availabilities); provides support to parents on days of PTCs and takes action in the case of absent teachers.
  • Student Activities Extracurricular (Club) Program: Assists in compilation of club booklet and schedule; maintains online system; assists advisors; promotes club program; secretarial and administrative tasks; advices 1-2 clubs every year.
  • First Form Gymnasium Club Requirement: Confers with students and deans on a regular basis; collects and files the club requirement cards; prepares reports and statistics.
  • Theater Clubs (Greek Theater, Drama, Junior Drama): prepares seating chart and sells tickets; ushers during performances; assists in end-of-the-night preparations and duties after performances; maintains prop and costume room every year.
  • Events (Greek Forensics, Aegean Tournament, Junior Aegean): Prepares all event documents and updates for website; is the point person for all communication with schools; collects and organizes application and registration forms; prepares schedule, rules and regulations, sweepstakes tab room (GF) and track & field excel (Aegean), badges, certificates, shifts, etc.
  • Events (ACMUN, Forensics every 4 years): Assists with the organization; assists with (ACMUN) or prepares (Forensics) badges, certificates, payments, etc, member of the sweepstakes tab room (Forensics)
  • Seniors Mt Olympus Hike: Prepares documents for informational meetings; tracks payments and permission slips; compiles weekend lists; orders medals and prepares certificates.
  • Yearbook: Assists in the preparation of photoshoots; responsible for various sections of the Yearbook; liaises with a graphic designer on drafts/orders of previous yearbooks and compilation of new ones; organizes and assists in the distribution of digital copy to students and print a copy to alumni.
  • Other tasks: Prepares academic awards; assists in all office publications, maintenance of bulletin boards and announcements; tracks and updates emergency floor plans; other administrative tasks.

It is estimated that the assistant works 6-8 weekends and two evenings.

Qualifications & Personal Attributes

  • Bachelors degree completed
  • Strong computer skills
  • Excellent knowledge of Google Suite and other applications (i.e., Canva, mail merge, etc) as office needs require
  • Excellent writing and speaking skills in both Greek and English
  • Patient, calm, organized, sociable, diplomatic, fast
  • Ability to work under pressure and multitask
  • Anatolia alumnus/a (preferred)
