Housekeeping Coordinator ensures that all assigned duties are carried out daily in a timely manner, coordinates calls received within the department ensuring proper recording and follow up in accordance with the policies and procedures set by One and Only Aesthesis. Also ensures that all the guest requests are met on time and proper records are maintained daily.
Key Duties and Responsibilities
- Communicates with Front Office and Butler to ensure correct villas are allocated and blocked accordingly.
- Ensures all Seniors & Housekeeping colleagues are informed of any emergency and regular updates.
- Allocate any requests to the appropriate colleague and follows up to ensure the request has been completed.
- Maintain records of all guest loan items and ensures the colleagues collect back all possible items on the corresponding date of departure.
- Keeps accurate records in an organized manner that other colleagues can find easily when required, in all forms such as, computer, files etc.
- Assists with inventories and tabulations in a timely manner.
- Ensure all the maintenance are received entered to the system and follow up with Engineering Department.
- Follows up with Housekeeping Team Leaders to ensure villas are ready for arrival guests and preference e.g. extra bed, pillow selection etc. have been placed accordingly and update status from opera and communicate from office and butler if required.
- Prepares daily task assignments for Villa Valets for both morning and evening service, and daily reports for leaders to be posted in Official Viber group.
- Prepares monthly attendance report and update Fusion for all colleagues of Housekeeping.
- Prepare monthly flower cross charge and sold flower report.
- Ensure all Kids and VIP amenities are prepared on one day advance.
- Ensure Housekeeping Stores are adequately stocked of Villa amenities, supplies, cleaning supplies, gifts, VIP amenities, special amenities, Kids amenities and other operating supplies.
- Check the pantry stock with help from Runner or Team Leaders and Prepare store requisitions and distribute the goods to pantries as per stock list through the runner. Inform the Manager, Housekeeping or Executive Housekeeper of items needs to issue purchase requests when the stocks are below par levels in Housekeeping stores.
- To record and maintain log book of breakage and loss and prepare monthly summary sheet for Executive Housekeeper and Finance Department.
- Maintain a diary to follow service schedules / appointments for follow up.
- Update the florist with all the flower requests for preparing flower order and flower requests on time.
- Summarizing training reports for the department on every month end and send to Learning & Developemnt.
- To assist in maintaining Housekeeping employee record file keeping all information confidential and ensuring that it is filed accordingly and file cabinets are locked.
- Maintain a sense of urgency in all assigned tasks.
- If we receive minibar updates from F&B department, ensure it is been handover to the Team Leaders or Villa Valet and ensure keep record of updates till it is completed in all villas.
- Assist in other administrative duties assigned by the Manager, Housekeeping / Executive Housekeeper.
- Do the daily boat booking as recorded in boat booking list and if bookings are not available as per colleague request on the system inform colleague about unavailability or note it down on the booking sheet.
- Attends and participates in team events.
- Must demonstrate excellent attendance and punctuality
- Participates in required training related to the job.
- To effectively communicate and maintain a favorable working relationship with colleges at all levels.
- Always Assure professional attitude towards guest and colleges.
- Always Ensure to meet Grooming and Hygiene policy of One&Only Aesthesis when in uniform
Skills, Experience & Educational Requirements
- Bachelor’ degree
- Minimum two years’ experience in housekeeping positions
- Good knowledge of English
- Must have good knowledge in computer operation (including software such as excel, word, PMS)
- Must be skilled to perform the job of Office Administrator, Housekeeping.
