Intellectica is recruiting on behalf of its client, a rapidly growing group of companies active in architecture, construction, and hospitality development, headquartered in Athens, Greece. The company is currently seeking an experienced Project Manager to the CEO to join its growing team. Reporting to the CEO, the successful candidate will play a pivotal role in managing daily operations, streamlining communications, and providing strategic administrative support in a high-responsibility environment.
Key activities and responsibilities of this role include:
Acting as a strategic partner to the CEO, providing proactive support across business priorities, executive decision-making, and organizational initiatives
Driving cross-functional coordination across teams and departments to ensure alignment, accountability, and timely execution of key business objectives
Managing and optimizing the CEO’s agenda, priorities, stakeholder engagements, and executive commitments in a fast-paced environment
Preparing high-level executive briefings, board materials, presentations, business updates, and strategic reports to support informed decision-making
Participating actively in leadership and board meetings, capturing key actions, monitoring progress, and ensuring follow-through on strategic initiatives
Serving as a central point of coordination between the CEO, senior leadership team, external partners, and key stakeholders
Supporting the planning, execution, and monitoring of strategic projects, ensuring milestones, deliverables, and timelines are achieved
Anticipating business needs, identifying operational gaps or risks, and proactively recommending solutions to enhance efficiency and effectiveness
Representing the CEO’s office with professionalism and discretion, handling highly confidential information and sensitive business matters
Coordinating executive communications, stakeholder interactions, and high-level engagements, ensuring consistency, professionalism, and strategic alignment
Accompanying the CEO to selected meetings, events, and strategic engagements, ensuring seamless preparation, coordination, and follow-up
Contributing to organizational development initiatives, internal communication flows, and leadership effectiveness across the business
Supporting special projects, transformation initiatives, and other strategic priorities as required from time to time
Professional experience & qualifications of a successful candidate:
Bachelor’s degree in Business Administration or a related discipline; a Master’s degree is considered an asset
At least 5 years of experience as a Personal Assistant, Executive Assistant, or senior administrative roles, ideally within a regulated corporate environment
Proven experience working closely with senior executives in fast-paced, high-complexity environments
Advanced presentation development and delivery skills, with demonstrated experience creating high-impact executive presentations
Tech-savvy and comfortable managing digital tools
Familiarity with project management tools is considered a plus
Proficiency in the MS Office Suite
Fluency in Greek and English (written and verbal)
