The Office Administrator & Sales Support role ensures the smooth and efficient operation of the office while providing essential administrative support to the sales function for Distributor Markets. This position is responsible for maintaining a well-organized workplace, supporting internal events, overseeing office health & safety protocols, and assisting the sales team with key administrative tasks. The ideal candidate is proactive, detail-oriented, and comfortable working in a fast-paced environment.

Key Responsibilities Include:

Facilities Management

  • Oversee day-to-day office operations to ensure a clean, safe, and well-functioning workspace.

  • Liaise with building management, vendors, and service providers for maintenance, repairs, and facility needs.

  • Manage office supplies, equipment, and inventory, ensuring availability and cost efficiency.

  • Coordinate office access, security badges, meeting room logistics, and visitor management.

Event Organization Support

  • Assist in planning and delivering internal events, meetings, and team activities.

  • Coordinate logistics such as venue setup, catering, materials, and schedules.

  • Support company-wide events, workshops, and external partner gatherings as needed.

Health & Safety Oversight

  • Act as the office Health & Safety point of contact.

  • Ensure compliance with company safety policies and local regulations.

  • Maintain emergency procedures, first-aid supplies, fire wardens, and safety documentation.

  • Conduct periodic safety checks and support H&S training or drills.

Sales Administration

  • Provide administrative and coordination support to the sales team serving Distributor Markets.

  • Assist with order processing, documentation, and maintaining accurate records in CRM or sales systems.

  • Prepare reports, presentations, and sales materials as requested.

  • Communicate with distributors to ensure timely follow-up, documentation, and resolution of administrative needs.

  • Support the sales team with data entry, contract tracking, scheduling, and general administrative tasks.

Qualifications & Skills

  • Proven experience in office administration, sales support, or a similar role.

  • Strong organizational and multitasking skills with high attention to detail.

  • Excellent communication and interpersonal abilities.

  • Proficiency with standard office software (e.g., Microsoft Office Suite, Google Workspace, CRM systems).

  • Ability to work independently, take initiative, and solve problems proactively.

  • Knowledge of health & safety practices (preferred but not required; training can be provided).

  • Bachelor’s degree in Business Administration, Management, or a related field (or equivalent professional qualification).

  • Excellent knowledge of English language
