Περιγραφή Θέσης
- Executes the administrative and secretarial tasks of the department in order to support the effective operation of the department and the vessels managed by the SMC. Organizes, coordinates and performs a wide range of administrative and general support duties.
- Executes the secretarial and administrative tasks of the department, in order to support the Fleet Manager and the members of the Fleet Team in performing their role.
- Maintains records of assigned vessels certificates, and facilitates the preservation of their validity, in respect of Class, Flag, and International regulations. Maintains Class module.
- Monitors Compliance module or similar.
- Assists Fleet Manager and Superintendents with TMSA and other similar external audit related works.
- Assists Superintendents with PAL administrative works.
- Develops and updates the archive of the department, so as to keep good record of all department actions and relationships. Timely updates general data bases of the department.
- Monitors timely submission of the inspection, quarterly and dry dock reports to the appropriate stakeholders. Assists Superintendents in finalizing their reports, if required. Maintains copies and updates the Ship’s Inspection List.
- Monitors, keeps record and supplies ship’s stationary.
- If required, assists with travel arrangements, visas, etc, coordinates meetings of Fleet Team. Processes invoices, checks correctness, signature and stamp, filing. Monitors timely visits to the vessels.
- Follow up on routine matters with telephone calls and emails etc. with internal/external stakeholders.
- Perform any other tasks as assigned by the management.
Requirements
Education and Qualifications:
- High School Diploma or equivalent
Work Experience:
- At least 3 years’ experience within a large organisation dealing with administrative duties
Job-Specific Skills:
- Very good communication skills
- Organisational skills
- Team work and cooperation
- PC literacy - Excellent Computer skills – Microsoft Office (Intermediate Level)
- Fluency in English
