General and Role-Specific Duties
1. Administrative & Back-Office Duties
• Maintain and update all shore excursion records and documentation.
• Manage guest communication regarding excursion schedules, meeting points, and changes.
• Prepare MXP data for upcoming voyages.
• Complete accident reports for shore excursions and activities in DocMap.
• Assist with maintaining waitlists and supporting booking-related tasks.
• Contribute expedition and excursion information for the Viking Daily program.
• Assist with preparation of End-of-Voyage Reports with excursion-related data.
• Support administrative and preparatory tasks in the Explorers/Excursions back office.
2. Guest Engagement & Service Excellence
• Serve as a highly visible guest-facing representative, proactively engaging with guests and offering assistance.
• Provide detailed port information and assist guests in selecting excursions suitable to their interests.
• Present Port Talks as part of the Daily Briefing together with the Expedition Leader for each destination.
• Act as the first point of contact to address guest concerns related to shore excursions, resolving issues according to STAR Service Standards.
• Socialize with guests to enhance their onboard and shoreside experience.
3. Shore Excursion & Expedition Operations
• Coordinate, assist with, and ensure the smooth dispatch and operation of all shore excursions and expedition activities.
• Assist with organizing and dispatching excursions, tenders, and shuttle bus operations.
• Liaise with local tour operators to confirm reservations, buses, guides, and schedules.
• Distribute signage, audio equipment, and provide support to local guides during dispatch.
• Coordinate audio equipment for excursions and ensure proper inventory management.
• Accompany guests on tours and field excursions; monitor experience quality and service delivery to ensure STAR Service Standards are met.
• Support smooth and well-organized guest debarkation and embarkation operations.
• Manage the invoicing of shore excursions and obtain necessary approvals.
4. Quality Assurance & Operational Standards
• Monitor service levels of shore excursions and ensure compliance with Viking STAR Service Standards.
• Report on guide performance, guest satisfaction, and operational consistency.
• Develop and deepen destination knowledge through escorting excursions and independent research.
• Support biosecurity procedures when required.
5. Expedition Team Collaboration
• Liaise closely with Expedition Management regarding daily team schedules and operational planning.
• Lead a team of one Senior Shorex Excursion staff and one assigned person from Guest Services to the Expedition Team.
• Participate in daily rotation in Expedition Central, assist guests and providing information.
Role-Specific Profile, Skills, and Experience
• Excellent administrative and organizational skills
• Excellent communication skills in English, including public speaking experience
