The Payroll Assistant - Onboarding plays a critical role in supporting the successful onboarding of candidates into the business. This role will primarily support candidates relocating from across Europe in obtaining the relevant documentation and registrations from the Greek authorities to enable them to work in Greece. This person will be the first point of contact for new hires, guiding them through the essential administrative steps required. The role will provide hands-on assistance and will involve engagement with relevant Greek authorities in obtaining a Greek tax number, social security number, and EFKA registration, ensuring a smooth onboarding process for each candidate.
Responsibilities
- Engage directly with candidates using multiple channels to represent and support in their onboarding journey, ensuring the timely provision of relevant Greek documentation and registrations for starting work in Greece.
- Complete application forms in person and online to apply for relevant documentation and registrations. Provide step-by-step guidance, ensuring candidates understand and complete all required processes before their start date.
- Communicate and Cooperate with legal authorities to complete relevant paperwork (visits to the Labor Inspectorate and DYPA, EFKA and other relevant authorities when required).
- Collect and prepare data for entering into relevant payroll and HR systems.
- Maintain employment records related to hiring in accordance with the relevant legislative framework.
- Ensure compliance with all relevant labor laws and policies throughout the onboarding process. Stay up to date with labor laws, regulations, and best practice.
- Advise on any issues or risks that might arise during the process and present solutions for resolutions where applicable.
- Collaborate with internal TA, HR, payroll, and legal teams.
- Identify opportunities for process optimization and implement strategies to enhance the efficiency and effectiveness of the onboarding process. Continuously review and refine workflows, tools, and technologies to streamline operations.
- Develop and maintain metrics and analytics reports to monitor progress and to assess the effectiveness of onboarding processes and strategies - identify trends, and provide actionable insights to stakeholders. Utilize data-driven approaches to optimize processes.
- Support with the creation of training materials, workshops, and resources to educate relevant stakeholders on processes, best practices, and tools. Provide ongoing support and guidance to ensure adoption and adherence to established processes.
- Participate in projects relating to process improvement and automation.
- Support with the collation and presentation of information and documentation required for Governmental, internal or regulatory audits.
Essential Requirements
- Experience in a related role where there was a requirement to support individuals in obtaining the relevant documentation and registrations to work in Greece.
- Strong knowledge and understanding of the processes and systems involved to obtain the relevant documentation and registrations to work in Greece.
- Strong knowledge and understanding of Greek legislation regarding labor, tax regulations and social security matters.
- Experience of utilisation of MS Office tools including excel.
- Fluent in English and Greek (verbal and written).
- Excellent customer service and communication skills, with the ability to work independently and a strong attention to detail.
- Ability to manage multiple cases simultaneously, prioritize and ensure timely completion of all formalities.
- Proactive and problem-solving mindset, able to navigate bureaucratic processes efficiently.
- Access to a form of transport to enable travel to relevant authority offices.
Desirable experience
- A bachelor's degree in Accounting, Finance or any other related field.
- Very good understanding of basic accounting principles and payroll best practices.
- Experience with ERPs and Payroll Platforms.
