Rontis Hellas SA, a Greek multinational healthcare company, active in the field of specialty healthcare (R&D, production, international promotion and distribution of pharmaceuticals & medical devices), is seeking to employ a detail-oriented, highly organized:
Travel Arrangements Officer
The successful candidate will manage domestic and international travel logistics for employees, and/or clients, will be responsible for booking transportation, accommodation, and related services, while ensuring cost efficiency and compliance with company policies. The role will be based in Athens, Greece.
Key responsibilities – main job duties include the following
:
Coordinate and book travel arrangements for Rontis’ employees
Coordinate and book travel arrangements for Rontis business partners (distribution channels & HCPs)
Communicate with travelers to understand preferences, restrictions, and budget constraints
Handle travel changes, cancellations, and emergencies with efficiency
Ensure all bookings are compliant with internal Travel & Expense Policy
Ensure application of compliance & company guidelines concerning interaction with HCPs
Collaborate with accounting department for travel expense reconciliation and reporting
Maintain and update the Rontis Marketing Calendar, tracking all conferences and educational events the company participates in
Create and monitor expenses summary file per event or conference, ensuring detailed capturing of company’s spending per category of relevant expenses
Maintain up-to-date knowledge on travel regulations, safety advisories, and visa requirements
Requirements – Candidates must have
:
Proven experience in travel coordination, executive support, or administrative services
Bachelor’s degree in Hospitality & Tourism Management, Event Management or Planning, Business Administration or relevant preferred
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Fluency in English (written and spoken) is required
Adaptable and proactive with a problem-solving mindset
Ability to handle confidential information with discretion
Experience in healthcare or life sciences is a plus
