As an Office Manager you will:

  • Oversee the daily office operations, ensuring a smooth and efficient workflow 

  • Serve as the primary point of contact for office-related inquiries and issues

  • Welcome visitors and guide appropriately

  • Answer, screen, and forward incoming phone calls or take accurate messages

  • Schedule and coordinate meetings and appointments 

  • Maintain office databases 

  • Prepare and send outgoing mail items (envelopes, packages, etc.) 

  • Manage office equipment and supplies, ensuring timely replenishment as needed

  • Manage price negotiations with office vendors and service providers in cooperation with the Finance Team 

  • Coordinate with the IT Team for onboarding and offboarding procedures

  • Handle petty cash and maintain records of office-related expenditures

  • Coordinate and supervise the work of internal colleagues and external vendors for cleaning services 

  • Liaise with external service provider for maintenance of the air conditioning system

  • Partner with the HR Team to assist in the onboarding new hires 

  • Assist with the coordination of in-house or off-site activities (e.g., company events)

Job requirements

What you will bring:

  • At least 3 years of experience as an Office Manager or in a similar role

  • Advanced communication skills

  • Fluent in both Greek and English

  • Ability to work independently and as part of a team

  • High attention to detail, strong problem-solving & organizational skills

  • Proficiency in Google Suite and MS Office
