About the job
As a Facilities Administrator, you will provide essential administrative support to the Facilities Department, ensuring the smooth coordination and documentation of facilities operations across the hotel. This role is ideal for a highly organized and detail-oriented professional who can effectively manage administrative processes, support maintenance planning activities, and contribute to the efficient operation of the department.
Responsibilities
Provide administrative support to the Engineering Department, assisting with the day-to-day coordination of maintenance activities and operational requirements.
Create, maintain, and update engineering records, work orders, preventive maintenance schedules, service contracts, and departmental documentation.
Monitor and track maintenance requests through the hotel's maintenance management system, ensuring timely follow-up and completion.
Coordinate communication between the Engineering Department, other hotel departments, and external contractors to facilitate efficient workflow and service delivery.
Assist in the preparation of reports, presentations, budgets, inventory records, and departmental correspondence.
Maintain accurate filing systems for equipment records, certifications, permits, warranties, and compliance documentation.
Support procurement activities by preparing purchase requests, tracking orders, and maintaining supplier information and documentation.
Ensure that all administrative processes comply with hotel policies, safety standards, and operational procedures.
Respond professionally to internal inquiries and provide administrative assistance to the Chief Engineer and Engineering leadership team.
Requirements
Degree or diploma in Business Administration, Hospitality Management, Office Administration, or a related field.
Minimum of 2 years of experience in an administrative or coordinator role, preferably within hospitality, facilities management, engineering, or a related environment.
Excellent organizational and time-management skills, with strong attention to detail.
Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
Experience working with maintenance management systems (CMMS) or similar software will be considered an asset.
Strong communication and interpersonal skills with the ability to collaborate effectively across departments.
Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.
Fluency in both Greek and English is required.
