About the job

As a Facilities Administrator, you will provide essential administrative support to the Facilities Department, ensuring the smooth coordination and documentation of facilities operations across the hotel. This role is ideal for a highly organized and detail-oriented professional who can effectively manage administrative processes, support maintenance planning activities, and contribute to the efficient operation of the department.

Responsibilities

  • Provide administrative support to the Engineering Department, assisting with the day-to-day coordination of maintenance activities and operational requirements.

  • Create, maintain, and update engineering records, work orders, preventive maintenance schedules, service contracts, and departmental documentation.

  • Monitor and track maintenance requests through the hotel's maintenance management system, ensuring timely follow-up and completion.

  • Coordinate communication between the Engineering Department, other hotel departments, and external contractors to facilitate efficient workflow and service delivery.

  • Assist in the preparation of reports, presentations, budgets, inventory records, and departmental correspondence.

  • Maintain accurate filing systems for equipment records, certifications, permits, warranties, and compliance documentation.

  • Support procurement activities by preparing purchase requests, tracking orders, and maintaining supplier information and documentation.

  • Ensure that all administrative processes comply with hotel policies, safety standards, and operational procedures.

  • Respond professionally to internal inquiries and provide administrative assistance to the Chief Engineer and Engineering leadership team.

Requirements

  • Degree or diploma in Business Administration, Hospitality Management, Office Administration, or a related field.

  • Minimum of 2 years of experience in an administrative or coordinator role, preferably within hospitality, facilities management, engineering, or a related environment.

  • Excellent organizational and time-management skills, with strong attention to detail.

  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.

  • Experience working with maintenance management systems (CMMS) or similar software will be considered an asset.

  • Strong communication and interpersonal skills with the ability to collaborate effectively across departments.

  • Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and professionalism.

  • Fluency in both Greek and English is required.
