What you'll do
- Manage and optimize the executive's daily calendar, prioritizing meetings and commitments
- Coordinate and schedule meetings, appointments, and conference calls with all logistics in place
- Organize complex international travel arrangements including visas, accommodations, and itineraries
- Support and coordinate cross-functional projects ensuring timely follow-up and execution
- Track and manage departmental expenses including budgets and expense reports
- Prepare meeting agendas, presentations, and supporting materials and follow up on action items
- Accompany the executive on business trips as required
- Plan, organize, and support PR activities and corporate events
- Handle sensitive information with the highest level of confidentiality and professionalism
Key requirements
- 6+ years' experience

Organize complex international travel arrangements, including visas, accommodations, and detailed itineraries, with flexibility to adapt to last-minute changes
Support and coordinate cross-functional projects, ensuring timely follow-up and execution
Track and manage departmental expenses, including budgets and expense reports
Prepare meeting agendas, presentations, and supporting materials, and follow up on action items
Accompany the executive on business trips as required
Plan, organize, and support PR activities and corporate events
Handle sensitive information with the highest level of confidentiality and professionalism
Requirements
Bachelor's degree in Business Administration or related field preferred
Minimum of 6 years of experience as a Senior Executive Assistant or similar role
Fluency in Greek and English (written and spoken)
Willingness to travel and work across different shifts, including flexible or rotating schedules.
Background in a company with international presence
Proven ability to work in a fast-paced, high-pressure environment while managing multiple priorities
Ability to remain calm under pressure and manage unforeseen challenges effectively, such as last-minute schedule changes or urgent issues that require immediate attention
Exceptional organizational skills and strong attention to detail with a focus on accuracy and thoroughness in all tasks
Excellent communication and interpersonal skills, with the ability to collaborate across all levels
Ability to maintain confidentiality and handle sensitive information
