Aksia is seeking a highly organized and detail-oriented Administrative Assistant to support internal teams with project management and administrative duties. This role is critical in ensuring that tasks, deadlines, and follow-ups do not slip through the cracks in a fast-paced, high-volume environment. The ideal candidate thrives on structure, efficiency, and proactive problem-solving.

Responsibilities

  • Track outstanding tasks, follow up with stakeholders, and ensure project timelines stay on course.
  • Assist with email organization, prioritization, and response coordination to ensure effective team communication.
  • Support and maintain project workflows, ensuring accuracy and completeness of deliverables.
  • Schedule, coordinate, and track action items from meetings.
  • Maintain and update records, reports, and internal systems with high attention to detail.
  • Adapt to evolving needs by assisting different teams with administrative and project-related tasks.

Qualifications

  • Strong written and verbal communication skills in English.
  • Proven experience in administrative support, project coordination, or a similar role.
  • Strong proficiency in Microsoft Outlook; ability to quickly learn proprietary company systems.
  • Exceptional organizational skills with a keen eye for detail.
  • Ability to manage multiple priorities in a high-volume, deadline-driven environment.
  • Proactive, self-motivated, and able to anticipate needs without constant direction.
