Key requirements

- Strong interpersonal skills and knowledge of child safeguarding

ACS Athens is seeking an exceptional, detail-oriented Middle School Administrative Assistant for a fixed-term contract to provide maternity leave coverage for the Middle School office. As the central administrative hub for students, parents, faculty, and leadership, the ideal candidate brings outstanding organizational skills, professional fluency in both English and Greek, and a service-minded approach to supporting an international school community.
Key Responsibilities
Executive & Office Administration: Manage the Principal’s calendar, coordinate appointments, draft official correspondence, screen incoming communications, and oversee office procurement, supplies, and maintenance requests.
School Operations & Attendance: Track daily faculty and staff attendance (leave requests, sick leave), coordinate daily substitute teachers, and prepare accurate records for HR and Payroll processing.
Student Records & Enrollment Management: Facilitate new student registration and onboarding, process student withdrawals, manage student locker allocations, and maintain accurate records within the school database.
Event Planning & Logistics: Plan, coordinate, and execute key Middle School events, including Parent-Teacher Conferences, Back-to-School Night, and Middle School Graduation ceremonies and logistics.
Communications & Publications: Maintain and update school publications, including the Parent/Student Handbook, the Middle School website section, weekly faculty duty schedules, and the Principal’s weekly update to stakeholders.
Technology & Data Management: Utilize school management systems (Powerschool, Moodle), Google Workspace, Microsoft Office Suite, and internal communication tools to ensure seamless data flow and office efficiency.
Child Safeguarding & Compliance: Maintain strict confidentiality regarding student and family records while adhering fully to ACS Athens GDPR, Child Safeguarding, and emergency safety policies.
Qualifications & Requirements
Education: High School Diploma required; Associate or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
Experience: Minimum 2–3 years of administrative or secretarial experience, preferably within an educational or international environment.
Language Skills: Native or near-native fluency in English and Greek (both written and spoken) is required.
Technical Proficiency: Advanced command of MS Office Suite, Google Workspace, and school administrative software/SIS (e.g., Skyward, Moodle).
Core Competencies: Exceptional multitasking, problem-solving, and interpersonal skills; ability to remain calm and professional in a fast-paced environment.
